Who is responsible?
Guardian Applications Ltd is the controller for personal information used to manage enquiries and correspondence with us. Our registered office is Suite RA01, 195-197 Wood Street, London, E17 3NU, United Kingdom. Contact admin@guardian-apps.co.uk about privacy. This notice covers the corporate website and enquiries; individual products may require their own notices and contractual arrangements.
Information and purposes
If you email us, we receive your address, the contents of your message and any information you choose to include. This may include your name, organisation, role, product interest and a description of your needs. We use it to respond, clarify requirements, arrange discussions, manage support and keep relevant business correspondence. Please avoid passwords, care records and sensitive information about other people in an initial enquiry.
Why we may use your information
For ordinary business enquiries, our legitimate interests are answering requests, understanding potential customers' needs and managing business relationships. Where you ask us to take steps towards a contract with you personally, we may process the necessary information for those pre-contract steps. We may also retain or disclose information where a legal obligation requires it. An enquiry does not subscribe you to marketing.
Online enquiries
The form sends your contact details, message and any project answers to our team through our IONOS email service. We use these to respond and discuss your requirements. Your answers remain in the current page after sending; the form does not save a browser draft. Copying or downloading a brief creates a copy under your control.
To prevent abuse and duplicate messages, we retain a request identifier, a keyed fingerprint of the submission and its delivery status for 30 days, with deletion at the next daily cleanup, normally within 31 days. Rate-limit records use keyed representations of email and network addresses and are removed by daily cleanup, normally within three days. These database records do not contain the enquiry text. If delivery cannot be confirmed, we keep the reservation to avoid automatically sending the same message twice.
Providing information is voluntary. We need a way to contact you and enough detail to understand the request if you want a response. Optional project details help a discussion but are not required to make an initial email enquiry. We do not use this enquiry process to make solely automated decisions with legal or similarly significant effects.
Private feedback
The feedback form sends your chosen topic, message and any name or email address you provide to our team through IONOS. Name and email are optional unless you ask for a reply, when an email address is required. We use feedback to understand and improve the website and our services and to reply where requested. The same submission-control protections described above apply. Feedback is not automatically published as a review or testimonial; we ask separately before publishing it.
Who handles correspondence?
Relevant people acting for Guardian Applications review enquiries. IONOS provides our email service. Professional advisers or authorities may receive information where necessary for advice, a legal obligation or a legal claim. We do not sell personal information. IONOS also provides this website's hosting and enquiry-control database. Access is limited to people and service providers who need it for these purposes.
Processing locations
IONOS?s data processing agreement provides for processing in the United Kingdom or European Economic Area and permits necessary transfers to other countries subject to applicable data protection requirements. It does not promise UK-only processing. Contact our privacy address for information about the safeguards applicable to your information and how to obtain a copy.
How long we keep information
We assess correspondence by whether the enquiry is still active, whether follow-up has been agreed, whether it forms part of a customer relationship, and whether it is needed for a legal obligation or dispute. Information should be deleted or anonymised when those purposes no longer justify keeping it. You can ask us about the retention applicable to your enquiry using the privacy contact above.
Hosting and technical information
IONOS processes connection and technical information to deliver the website and maintain its security and stability. This includes requested pages or files, access times, referring pages, browser, operating system, device and network information. Its Web Hosting data-processing information describes visitor records with anonymised IP addresses and an eight-week retention period. This provider logging is separate from our form's submission-control records.
Cookies and browser storage
We do not add analytics or advertising trackers or set non-essential cookies through the website application. The enquiry form does not save your answers in browser storage. Copying or downloading a brief creates a separate copy that you control. Email links open your chosen email application.
Your rights
Depending on the processing and applicable exceptions, you may request access, correction, erasure or restriction of your information, and data portability where that right applies. If we rely on consent for a particular use, you may withdraw that consent without affecting the lawfulness of earlier processing.
Your right to object
You may object to processing based on legitimate interests on grounds relating to your situation. Contact admin@guardian-apps.co.uk to exercise this right or another data protection right. We may need proportionate information to verify your identity.
Questions and complaints
Please contact us if you have concerns about our handling of your information. You can also complain to the Information Commissioner's Office.
Updates
We will update this notice when processing changes. The review date above identifies this version.
